Free dispatch spreadsheet template

One sheet for every job you run: who booked, where it goes, who's driving, and whether it's paid. Built for shuttle, courier, and private car operators. Print it or open the CSV in Excel or Google Sheets.

What to track on each job

  • Date and pickup time. Sort by these two and the sheet reads as the day's run order.
  • Customer and phone. The driver needs a number to call when the customer isn't at the curb.
  • Pickup and drop-off address. Full addresses, with gate codes, terminal, or suite numbers in the notes.
  • Passengers or items. Head count for a shuttle, bag count for an airport run, parcel count for a courier drop.
  • Driver and vehicle. Who has the job. Blank means it still needs a driver.
  • Price and paid. Quote the price when you book and mark it paid when the money lands, so nothing slips through at month end.
  • Status. Pick a short list and stick to it: booked, assigned, picked up, completed, cancelled, no-show.
  • Notes. Flight numbers, delivery instructions, who signed for a package, anything the next person needs.

How to use it

In a spreadsheet

  • One row per job. A return trip is its own row.
  • Turn on filters and sort by date, then pickup time. Filter Status to "booked" to see jobs that still need a driver.
  • The CSV splits customer and phone, and driver and vehicle, into separate columns for sorting.
  • Share the sheet read-only with drivers so only dispatch changes assignments.

On paper

  • Print a sheet for each day and fill it in as bookings come in.
  • Give each driver a copy of their rows before the shift, and collect it back with notes at the end.

When the spreadsheet stops keeping up

The sheet breaks down when two people edit it at once, a driver works from an old copy, or a customer texts a change that never makes it into the row. Beridy does the same job without the copy and paste: customers book on your site, you assign a driver, the driver runs the job from their phone, and each job records the GPS location and time at pickup and drop-off, plus a signature or the reason there isn't one.

It costs $0 a month and $0.50 per completed ride. See how it works for shuttles, couriers, and private car and airport transfers, or create your account. Running medical trips? Use the NEMT trip log template instead.
